What is SlotWise Pro?

SlotWise Pro is an event and appointment scheduling platform for US businesses. You create events, upload participant lists (CSV), and send unique scheduling links by SMS or email. Participants open the link, choose a time slot (and optionally a date/location), and confirm. Paid plans add a dedicated phone number and IVR for voice scheduling. We serve healthcare, events, education, professional services, and research with month-to-month plans and no long-term contract.

How do I try SlotWise Pro?

Sign up for a free trial at slotwisepro.com. No credit card required. The trial includes 1 user, up to 10 participants, and 1 event so you can run a real workflow. When you’re ready, upgrade to Starter ($99/mo), Professional ($299/mo), or IVR Automation ($499/mo) from your account.

How do participants book a slot?

You send each participant a unique link by SMS or email (from the event page, including bulk send). They open the link, see the event name and any date/location options, choose an available time, and confirm. They receive confirmation by email and SMS. The same link can be used to reschedule if you allow it.

What channels are included?

All plans include scheduling and confirmation by link and email. Trial includes 1 event and up to 10 participants. Starter ($99/mo) adds SMS and supports up to 5 events and 50 participants. Professional ($299/mo) supports up to 20 events and 200 participants, with healthcare workflow support available on request for teams handling PHI. IVR Automation ($499/mo) includes IVR + AI voice and supports up to 50 events and 500 participants.

Can I add team members?

Free Trial supports 1 user. Starter supports up to 3 users, Professional supports up to 10 users, and IVR Automation supports up to 20 users. You invite by email; members accept via link and can then create events, manage participants, and use the same organization phone workflows.

Do you support multiple locations or dates per event?

Yes. You can define multiple dates and locations per event. Participants see a date/location picker when relevant, then choose a time slot. Trial allows a single location; Starter supports up to 3 locations per event; Professional supports up to 10; IVR Automation supports unlimited locations per event.

How do bulk invites work?

Upload a CSV with participant email and/or phone (and optional name). Map columns in the dashboard, then send invites by email or SMS from the event page. Each person gets a unique link. Participant limits depend on your plan: Trial 10, Starter 50, Professional 200, IVR Automation 500; Custom for higher.

Is SlotWise Pro only for the US?

Yes. SlotWise Pro is built for US organizations. Scheduling links, SMS, and IVR use US phone numbers (toll-free and local area codes). We host in US-friendly regions and support US-focused compliance (e.g. HIPAA for healthcare).

What plans do you offer?

Free Trial: free, 1 user, 10 participants, 1 event—no credit card. Starter: $99/month, 3 users, 50 participants, 5 events/month. Professional: $299/month, 10 users, 200 participants, 20 events/month, with HIPAA Pack available (+$150/mo). IVR Automation: $499/month, 20 users, 500 participants, 50 events/month, IVR included. Is IVR (phone confirmation) available on all plans?

IVR is included on the IVR Automation plan ($499/mo) and Enterprise. An IVR Add-on (+$199/mo) is available for Starter and Professional plans — it adds a dedicated US phone number, inbound IVR menus, outbound automated confirmation calls, and AI voice routing without requiring a full plan upgrade. Free Trial does not include IVR or the add-on. See /add-ons for details.

What is the HIPAA Pack and which plans can use it?

The HIPAA Pack is a +$150/month add-on available on Professional and IVR Automation plans. It activates: Business Associate Agreement (BAA) eligibility, consent recording per participant (study participation, data sharing, custom types with versioning), right-to-delete across all 6 collections, participant data export (right-to-access), and audit log CSV export from the dashboard. Without the HIPAA Pack, no PHI is stored in logs and TLS + encryption at rest are still in effect, but BAA signing and the additional HIPAA-specific features are not available. Can I upgrade or add an add-on mid-billing cycle?

Yes. You can upgrade your plan at any time from your account dashboard — Stripe prorates the change for the remainder of the billing period. Add-ons (IVR Add-on, HIPAA Pack) require a manual request via contact@slotwisepro.com to activate, as they involve provisioning a phone number and/or initiating the BAA process. Downgrading takes effect at the next billing cycle.

Which industries use SlotWise Pro?

SlotWise Pro is used across healthcare research (clinical trial scheduling, study visit coordination), community health clinics, professional conferences and training programs, education (advising, parent-teacher scheduling, campus appointments), professional services (consulting, salons, fitness, B2B), and government and public sector programs (citizen appointment scheduling, benefits enrollment). All verticals use the same scheduling engine — HIPAA-aligned controls and IVR are available as add-ons or higher-tier plans for industries that need them.

How does billing work?

You subscribe via Stripe. Choose Free Trial to start; when you upgrade, you pick Starter, Professional, or IVR Automation and enter payment details. Billing is monthly. You can change plan or cancel from your account. Invoices are sent by email.

What payment methods do you accept?

We accept major credit cards and other payment methods supported by Stripe. Invoices are available in your account and by email.

Can I cancel or change my plan?

Yes. From your account you can upgrade, downgrade, or cancel. There’s no long-term contract. If you cancel, you keep access until the end of the current billing period.

Security & compliance

Does SlotWise Pro support HIPAA-aligned workflows?

SlotWise Pro uses HIPAA-aware design: audit logs with no PHI in logs, role-based access control, and support for BAA workflows with third parties such as Twilio and hosting providers. You are responsible for signing BAAs and ensuring your operational setup (encryption at rest, TLS, access controls, policies) meets your compliance obligations. Where is data stored?

Data is stored in MongoDB (e.g. MongoDB Atlas) in regions we use for production. We use TLS in transit and support encryption at rest. You can ask about region and compliance options when you sign up or contact support.

What about other industries (events, education, etc.)?

We provide baseline security (TLS, encryption at rest, audit logs, RBAC) and support industry-specific needs. Healthcare (HIPAA), events, education, and professional services are covered in our compliance materials. Your compliance team should evaluate how our controls map to your requirements.
